Hispanic Counseling Center's Journey

Established in 1977 by the Nassau County (NY) Department of Drug and Alcohol Addiction and the Nassau County Youth Board, Hispanic Counseling Center (HCC) is a forward-thinking, engaging, and inclusive substance abuse treatment facility located in the heart of Long Island.

With two psychiatrists and eleven LCSW and MLMHC therapists, HCC offers encouragement, hope, and support to over 1400 clients per month from throughout the region helping them work toward a constructive and productive way of life, and to be self-sufficient.

HCC does this through its various platforms which include programs for outpatient chemical dependency, domestic violence accountability, parenting / youth / family support services, and HCC’s Ryan White Mental Health Services for AIDS / HIV. HCC also supports education workshops, maintains a mental health outpatient clinic and it provides Medicaid service coordination.

Gladys Serrano, HCC’s CEO, said, “HCC is the only agency in NY’s Nassau County to be licensed by the State of NY to provide these services in an entirely bilingual, bicultural setting. We’re proud that HCC has received numerous citations for its single-point access for the Latino community.”

“With 1400 clients per month involved in any of HCC’s programs - sometimes in multiple HCC programs simultaneously - there’s a need for powerful solutions for multifaceted billing, claims to Medicaid and other payers, comprehensive multimodality scheduling, and reports and analytics,” Ms. Serrano said.

For all of that, HCC relies on MedicsRCM™ from Advanced Data Systems RCM.

Ms. Serrano explained, “As anyone might imagine, our billing picture runs the gamut with different levels of service, different payers, clients moving from one program to another or being in multiple programs simultaneously. Scheduling has to cover it all, and reports need to be compiled in dozens of different configurations. MedicsRCM and their Medics system -to which we have access - supports all of it.”

HCC’s claims are submitted with a nearly 99% success rate on first attempts. “MedicsRCM scrutinizes our claims to ensure they’re clean which definitely contributes to the success rate. Beyond that, the MedicsRCM team continually looks out for us by letting us know if claims can be coded better for greater reimbursement by those payers. Between MedicsRCM’s success rate on claim submissions and HCC using the best paying codes possible, our revenue and cash flow is the best it can be. That’s especially crucial whenever Medicaid is a major payer,” Ms. Serrano said.

MedicsRCM handles HCC’s EOBs / ERAs ensuring payer payments are quickly posted to the corresponding clients’ accounts. And MedicsRCM continually tracks HCC’s claims to ensure they’re being worked. They also quickly edit and resubmit any denials turning them into revenue as well for HCC.

Balance-due statements to clients are produced by MedicsRCM, with clients directed to contact MedicsRCM, not HCC, if they have statement questions.

Ms. Serrano spoke about how the HCC team uses the Medics scheduler through MedicsRCM. “It’s versatile enough to handle our countless multimodality scheduling scenarios for individuals and groups, and even multiple groups. The scheduler if actually a powerful workflow system in itself, and the MedicsRCM team uses it to batch verify upcoming appointments scheduled by HCC, alerting us if there are ever issues with client coverage.”

“MedicsRCM produces the various reports need by HCC and regularly reviews HCC’s key performance indicators (KPIs) with us,” Ms. Serrano said, adding, “But we can run our own reports whenever we want since we’re trained on the Medics system and have secure access to it at all times. Any reports we might generate are in addition to the reports regularly provided to us and reviewed byMedicsRCM.”

As with all MedicsRCM clients, HCC has on demand, secure cloud access to all of their data. “We very much like how MedicsRCM is open. We can see how they’re doing whenever we want. In fact, the MedicsRCM team encourages us in that regard,” Ms. Serrano said.

“HCC’s cash flow has improved because revenues are collected on time and collections are always up to date. The MedicsRCM team has definitely lived up to its projections and assurance they’d make HCC financially strong. When we began with MedicsRCM we had revenues delayed for almost 180 days. Now, the vast majority are under 45 days,” Ms. Serrano noted.
